Working with GCS Estimating

Before we take on a new client, we ask you to read how we work and sign up at the bottom of this page. It takes about three minutes, and it means we both know where we stand before any drawings change hands.

Terms of business – version 1, October 2026. These terms are between Green Construction Services Ltd, trading as GCS Estimating ("GCS", "we", "us") and the business named in the sign-up form ("you"). They are for business customers only.

1. Lines of communication

  • One named contact on each side. Ours is Simon Green – simon@gcsestimating.co.uk / 07881 816788.

  • Email is the record. Anything agreed by phone, Teams or WhatsApp is confirmed by email.

  • We reply to emails within one working day (UK time). Please answer queries on drawings or scope just as quickly, so the return date isn't put at risk.

  • Please send information to us directly, not through a third party.

2. What we need before we start

  • Drawings for the areas to be priced (PDF or DWG), as an attachment or a working download link.

  • Specification, scope or BoQ, plus any tender addenda.

  • Which packages you want priced – drylining, ceilings, SFS and so on.

  • Your tender return date.

The turnaround starts when we have all of the above. If information is missing, late or changes, the return date moves with it.

3. Deadlines

  • The return date is agreed for each job and confirmed in writing with the fee.

  • Rush work (shorter than the agreed turnaround) is by agreement, at the surcharge quoted at the time.

4. Fees

  • Every job is quoted as a fixed fee before work starts – no open-ended hourly charges.

  • Fees are banded by the work actually involved – the drawings that need measuring and the BoQ lines that need pricing – not just the number of sheets in the pack.

  • Nothing is chargeable until you've accepted the fee in writing (email is fine).

  • Revisions, re-measures from new drawing issues and extra scope are quoted separately before we do them.

  • Fees are exclusive of VAT, which is added where applicable.

5. Payment

  • New clients, and all clients outside the UK: payment in full before work starts.

  • Established UK clients: 14 days from the invoice date.

  • Payment by bank transfer, in GBP unless agreed otherwise.

  • If an invoice is paid late, we may charge interest and fixed compensation under the Late Payment of Commercial Debts (Interest) Act 1998, and we may suspend work on any job until all overdue sums are paid.

6. What our estimates are – and aren't

  • Estimates, take-offs and rates are prepared from the information you supply. We flag assumptions, exclusions and anything unclear.

  • They are a professional estimate to help you prepare your tender. Unless agreed in writing, they are not a measured survey or a bill of quantities prepared to NRM2.

  • We are not responsible for errors or omissions in the drawings, specifications or other information you provide.

  • You remain responsible for checking our work and for the tender price you submit. The commercial decision on your price is yours.

7. Liability

  • Our total liability for any job, whether in contract, negligence or otherwise, is limited to the fee paid for that job.

  • We are not liable for loss of profit, loss of contract, loss of business or revenue, or any indirect or consequential loss.

  • Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.

8. Ownership and use of our work

  • Copyright in our estimates, take-offs and marked-up drawings stays with us.

  • Once the fee is paid in full, you have a licence to use them for your company on the named project. Please don't pass them on to others or reuse them on other projects without our agreement.

  • Our work is for your use only. No one else, including a main contractor or client, may rely on it, and the Contracts (Rights of Third Parties) Act 1999 does not apply.

9. Confidentiality

  • We keep your drawings, pricing and project information confidential, except where the information is already public or we are required by law to disclose it.

10. Cancellations

  • If a job is cancelled after work has started, the work done to that point is chargeable.

11. General

  • These terms apply to every job we do for you. They override any terms you issue, including terms on purchase orders or sub-contract orders.

  • These terms and our written fee acceptance for each job form the whole agreement. Any change must be agreed in writing (email is fine).

  • We may update these terms. The version you accepted applies until we give you notice of a new one.

  • These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

12. Your information

  • We use the details in the form below to set you up as a client, to contact you about jobs and to invoice you. We keep them while we work together and for as long as we need to for our accounts and legal obligations.

  • We don't sell or share your details, other than with service providers who help us run the business (such as website hosting, email and accounting software).

  • You can ask to see, correct or delete your details at any time by emailing simon@gcsestimating.co.uk.
